Using a Kanban Board in a Project

Modified on Thu, 15 Sep 2022 at 05:02 PM

All projects in Projectal have their own dedicated Kanban board.  A project's Kanban board lists all tasks in the project as cards and lists all the project's task stages as columns.

The columns in Kanban boards in Projectal are defined by the stages in your projects.  Task stages are the stages or gates that your tasks will move through within the workflow of a project.  For example, the various task stages for a project may be defined as Ready -> In Progress -> Client Review -> Client Sign-off -> Completed. Go to the Edit Project screen to define the task stages for a project.

Accessing a Project's Kanban Board

To access the Kanban board for a project, follow these steps:

  1. Click on Projects in the left sidebar.
  2. Locate your project and click on the project card.  This will take you to the project's dashboard.
  3. Click Kanban Board under Projects on the left sidebar.  This will display the project's Kanban board.

Saving & Recalling Kanban Board Views

If you create a view of the Kanban Board screen that you like, then you can save it so that you can recall it at any time.  This lets you have a set of different views of the Kanban Board screen for getting different views on your projects.

Example: You may want to have a view so you can see all cards colored by their stage. Or you you may want to have a view of all cards sorted by their finish date. Or, you may want a view of all cards with their full information including images and descriptions.

After you have configured the Kanban Board screen as you like, click the Save As Kanban View menu item to save the view.  You will be prompted to provide a name for the view.  For example, "Colored By Stage".  The view will be saved and listed on the Kanban View popup menu.

If you wish to make changes to an existing view, then configure the Kanban Board screen as you wish and then click the Update Kanban View button next to the view in the Kanban View popup menu.  You will be prompted to optionally change the name of the Kanban view and then the view will be updated with the new configuration.

If you wish to delete a Kanban view, click the Delete Kanban View button next to the Kanban view in the Kanban View popup menu.

By default, a saved Kanban view can only be viewed and edited by the user that created it.  You can also share your Kanban views with other users.  This is handy when working in teams or when a company wishes to standardize on a set of views.  To share a Kanban view, click the Share Kanban View button next to the Kanban view.  This will display the Share View screen.  To allow all users to use the Kanban view, click the Public radio button.  To share the Kanban view with a limited set of users, click the Private radio button and click the Members button to select the users that you wish to share the Kanban view with.  By default, only you can edit your Kanban view to make changes.  If you wish to allow other users to edit the Kanban view, click the Members button next to Editing Permissions to select the other users that can edit the Kanban view.
