Using the Projects Screen - List View

The Projects screen - List View displays all projects in Projectal in a list with columns of data and a timeline so that you can see exactly the information you need to know about your projects.  


You can select the columns of data that you wish to see for your projects.


You can set the date range and timescale to view the timeline of you projects.

You can click on a project to go directly to that project's dashboard, tasks screen, Gantt screen, staff usage screen or Kanban board.


You can filter the projects by any related data attribute such as name, customer, status and location.


You can create your own views of the Projects screen and save them for recall at a later date.  You can share these views with other Projectal users.


Getting to the Projects screen - List View

  1. Click on Projects on the left sidebar to display the Projects screen.  The Project screen will either display the Card View or List View.  Click the List View button on the toolbar to switch to List View.



Customizing the Columns of Data

Click the Options menu the right side of a column header to display the list of columns to display.  Select the columns you wish to display or hide.  Using your mouse drag a column left or right to re-order the list of columns.  Using your mouse, click the vertical edge of a column to resize the width of a column. 


Customizing the Project Timeline

Select a date range from the Dates dropdown to view the projects within a particular date range.  or, set the starting and ending dates yourself using the From and To dates.  The Timeline will be adjusted to show projects within that date range.


Tip: Select Projects Schedule from the Date dropdown to always see all projects in the timeline.


Select the timescale from the Timescale dropdown to view projects in the timeline by day, week, month or year.


Coloring Projects

Click the Color By button to display a popup menu.  This lets choose the data attribute that you wish to color the projects.  The color designated by the data attribute will be used to color each project for easier identification of projects that you are interested in.  


Example: You may want color the project according to their current status so you can see which projects are in bidding, awarded, in progress, completed, etc.


Quick Access to a Project

Click on a project and it will display a popup menu that lets you quickly access the project's dashboard, tasks screen, Gantt screen, staff usage screen or Kanban board.


Searching and Filtering

As the list of projects gets bigger, you may want to search for specific projects or filter the list of projects by certain attributes.


Enter a search term into the Search field and click the Search button to list all projects with that text in their project name, description, customer name and other text fields.


Click the Filter Settings button to apply a filter to the list of projects.  You can filter by any project attribute.  You can sort the list of projects by any project attribute.  Click the Clear Filter Settings button to remove the filter.


Filtering by Project Progress

If you just want to wish to see all completed projects, or all non-completed projects or all in-progress projects, then you can click the Display Settings button and turn on/off the progress percentage menu items to hide or show projects based on their percentage progress. 


Example: If you want to see only the projects that have not yet started, then on the Display Settings popup menu, turn off all progress percentage menu items except for 0%.


Saving & Recalling Project Views

If you create a view of the Projects screen that you like, then you can save it so that you can recall it at any time.  This lets you have a set of different views of the Projects screen for getting different views on your projects.


Example: You may want to have a view so you can see all projects that have Bidding status.  Or you you may want to have a view of all projects for a particular customer.  Or, you may want a view of all non-completed projects.


After you have configured the Projects screen as you like, click the Save As Project View menu item to save the view.  You will be prompted to provide a name for the view.  For example, "Projects in Bidding".  The view will be saved and listed on the Project View popup menu.


If you wish to make changes to an existing view, then configure the Projects screen as you wish and then click the Update Project View button next to the view in the Project View popup menu.  You will be prompted to optionally change the name of the project view and then the view will be updated with the new configuration.


If you wish to delete a project view, click the Delete Project View button next to the project view in the Project View popup menu.


By default, a saved project view can only be viewed and edited by the user that created it.  You can also share your project views with other users.  This is handy when working in teams or when a company wishes to standardize on a set of views.  To share a project view, click the Share Project View button next to the project view.  This will display the Share View screen.  To allow all users to use the project view, click the Public radio button.  To share the project view with a limited set of users, click the Private radio button and click the Members button to select the users that you wish to share the project view with.  By default, only you can edit your project view to make changes.  If you wish to allow other users to edit the project view, click the Members button next to Editing Permissions to select the other users that can edit the project view.
