What are Resources in Projectal?

Modified on Tue, 23 Apr at 11:45 AM

Resources are items that are needed by staff to do their work.  Resources are also items that are needed to complete tasks in projects.

For example, for an animation artist to do their work, they may need a computer and certain software licenses.  Or, for a virtual production task in a project to completed, a camera, set of LED screens and lighting equipment will need to be used.

Projectal lets you define resources used by staff and resources used in projects.  You can define as many resources in Projectal as you like.  You can specify costs associated with the resources.

You can specify the quota (or how many units) of a resource you have so that Projectal can monitor and alert you if you are using too many units of a resource.

Assigning Resources to Staff

You can assign resources to staff in Projectal.  This lets you keep track of the number of resources assigned to staff and know who is using them at all times.  Resources may be physical equipment such as desks, computers, screens, etc. or may be non-physical resources such as software licenses.

When assigning resources to staff, you can specify the number of units of the resource required (e.g. 2 x computers) and the percentage utilization required (e.g. 50% usage of a particular software license that shared with another staff member).

Example: You can use Projectal to track the number of software licenses that your company is currently using and will be using the next 12 months so you can plan how many licenses to purchase. Simply assign the software license resources to your staff in Projectal.

Assigning Resources to Tasks

You can assign resources to tasks in Projectal so that everyone knows what resources are required to complete the task.  This lets you plan ahead to make sure you have the resources available for use when the task starts..  It also lets you monitor how many resources may be required for capacity planning purposes.  Resources may be physical equipment such as cameras, screens, rooms, lighting equipment, etc. or may be non-physical resources such as renders, bandwidth, data usage, etc.

When assigning resources to tasks, you can specify the number of units of the resource required (e.g. 5 x cameras) and the percentage utilization required (e.g. 50% usage of a virtual production studio space that is also being used by another project).

Example: For creative studios that use render farms, you can create a Render resource in Projectal and use it to estimate the number of renders for tasks within your current and future projects.  This lets you capacity plan the size of your render server farm today and for next 12 months.

Resource Planner

Projectal's Resource Planner lets you monitor all your resources in a timeline so you can monitor their usage with staff or projects.  In the Resource Planner, you can book resources onto projects, assign them to specific tasks or assign them to staff.

Resource Reports

You can create real-time data view reports and charts that show you the resource usage today and in the future.  This is useful for gaining a better understanding of your resource planning within your company.
