You can share one or more of your user views with other users. This allows you to collaborate with other team members, or create a standard set of views for your company.
To share a user view, then follow these steps:
- Click the User View toolbar button on the Projectal screen's toolbar.
- Click the Share User View button that is listed alongside the user view's name in the User View popup menu.
Public
Click the Public radio button to make the user view available to all Projectal users in your company. All users will see this user view listed on the User View popup menu and will be able to recall its settings on the Projectal screen.
Example: You have created a home dashboard with a layout, widgets, reports and charts that you want all Projectal users at your company to be able to access. So you use the Public radio button to make it available for all Projectal users in your company.
Private
Click the Private radio button to make the user view only available to yourself and selected users. Click the Members button to select those users that you wish to share the user view with.
Example: The Finance team have created a set of screens that they wish to use for the Finance team members (and no none else). So they have used the Private radio button and selected the users that are their Finance team members.
Editing Permissions
By default, the user that creates a user view is the only person that can edit the user view and update it at a later date.
If you wish other users to be able to edit and update a user view, then click the Members button alongside Editing Permissions and select the users that can also edit and update the user view.
Example: You are a project manager and have created a user view for the Tasks screen to help manage your projects. You also want the other 4 project managers at your company to be able to edit and update this user view so you can all collaborate together, so you have clicked Members button alongside Edit Permissions and added their user accounts. They now can update the user view just like yourself.
Make Default View
By default, new users of Projectal will see the default screens in Projectal the first time they view a Projectal screen. They will contain the default settings and layout of Projectal. You may want to set these default screens to match the layout and data from one of your user views.
You can set the default user view for new users by clicking the Make Default View alongside New Users. Once done, then any new user logging into Projectal for the first time will now see this user view (with its layout and settings) when they navigate to this Projectal screen for the first time. This is a very handy way to customize the set of screens in Projectal to match exactly what layout and data you want presented to your team members.
Update View
From time-to-time, you may create a new user view or update an existing user view, and you want to publish it as the new default view for your existing users.
To do this, click the Update View button alongside Existing Users and select the users that you wish to update. These users will now see the user view's layout, settings and data the next time they navigate to that Projectal screen.
Example: You have created a new user view for the Finance team that lists key financials for projects on the Projects screen. You want them to use this as their default view when they navigate to the Projects screen. You click the Update View button alongside Existing Users and select those users. After clicking OK, these users will now see the layout, settings and data from this user view the next time they navigate to the Projects screen.
