Understanding Staff Employment Contracts

When managing your staff in Projectal, you can add multiple employment contracts to each staff member.  This is very useful when your staff pool changes - such as

  • Full-time staff being promoted to new positions or different departments
  • Staff getting salary increases
  • Freelancers or contractors working for specific periods on projects


Staff can multiple contracts at the same time to reflect that they have multiple roles at the same time.


Each contract can have a different position, department, location, pay rate, set of skills, set of resources and more.


Having historical contracts for staff is important in Projectal since Projectal will apply the staff's pay rates, skills, start & end dates when they were employed and used on projects.  This makes the budgeting and costings of projects and staff planning much more accurate.


Example: Sally has been employed as a freelancer animator at the company on 3 occasions over the past 6 years.  Each time she worked on different projects and her contract rates have been different.  Each of these contracts can be entered and tracked in Projectal.


Example: Andrew has been working at the company for over 15 years.  He started at the as an Intern Junior Compositor.  Three years later, he was promoted to a full time position as a Mid-level Compositor and received a salary increase.  4 years after that, he became Head of Compositing and received another salary increase.  Finally, last year, he moved from the Compositing department to become Head of Production for the company.  Each of these employment changes for Andrew can be entered and tracked in Projectal.



Adding an Employment Contract

To add a new employment contract to a staff member:

  1. Go to the Management screen and click on the Staff button.
  2. On the Staff screen, find the staff member and select it and click the Edit toolbar button.
  3. On the Edit Staff screen, click the Add Contract button next to the Employment Contract section.  This will display New Contract in the Employment Contract dropdown list.
  4. Fill in the details for the contract and click OK to save the new employment contract.



Viewing and Changing an Employment Contract

To view and change an existing employment contract for a staff member:

  1. Go to the Management screen and click on the Staff button.
  2. On the Staff screen, find the staff member and select it and click the Edit toolbar button.
  3. On the Edit Staff screen, select the contract that you wish to view or change using the Employment Contract dropdown list. The details of the contract will be displayed in the Edit Staff screen. Make your changes and click OK to save it or click Cancel to exit without making any changes.


Deleting an Employment Contract

To delete an existing employment contract for a staff member:

  1. Go to the Management screen and click on the Staff button.
  2. On the Staff screen, find the staff member and select it and click the Edit toolbar button.
  3. On the Edit Staff screen, select the contract you wish to delete from the Employment Contract dropdown list.  Once the contract is displayed, then click the Delete Contract button.


Warning: Once the employment contract has been deleted, it cannot be retrieved. All use of this staff contract in bookings, tasks and activities will be removed.


Warning: If the staff member has only one employment contract remaining and you choose to delete it, then the staff member will be completely removed from Projectal
