To edit a staff in Projectal, follow these steps:
- Go to the Management screen by clicking Management on the left sidebar.
- Click the Staff button to display the Staff screen.
- Go to the List tab on the Staff Screen.
- Click the Edit button on the Staff screen toolbar.
- This will display the Edit Staff screen.
Lock
Turn on the Lock switch to stop any editing by users. Turn off the Lock switch to allow editing by users.
Employment Contract
If the staff member has been employed multiple times at the company, then all their employment contracts will be listed in the dropdown list. Select a contract from the dropdown list to see the details for a specific employment contract for the staff.
Click the Add Contract button to add a new contract for the staff member. You will see New Contract displayed in the dropdown list. Fill in the contract's details and click OK to save the new contract. It will be added to the Employment Contract dropdown list the next time you view the staff's details in the Edit Staff screen.
Click the Delete Contract button to delete the currently displayed contract from the staff.
Staff Avatar
Click the Pencil icon to add or change the staff avatar. This will display the Files screen and allow you to select a file that you have uploaded into Projectal.
Click the Delete icon to remove the staff avatar.
Staff Banner
Click the Pencil icon to add or change the staff banner. This will display the Files screen and allow you to select a file that you have uploaded into Projectal.
Click the Delete icon to remove the staff banner.
Enter the email address of the staff.
ID
Enter an optional identifier of the staff. It could be the staff ID code for the staff.
First Name
Enter the first name of the staff.
Color
Click the color swatch to set or clear the color for the staff. The color can used in other screens to highlight items by staff.
Last Name
Enter the last name of the staff.
Company
Click the Add Company button to add the company that the staff is employed by.
Departments
Click the Add Department button to add the departments in the company that the staff belongs to.
Position
Enter the position or title of the staff. For example, Producer or Lead Animator.
Type
Select the staff's employment type.
Tip: You can change the names and number of staff types to match the way your company works using the Lists screen.
Location
Click the Add Location button to add the location of where the staff is located. The selected location's work calendar becomes the base calendar for the staff and this becomes the base definition of the staff's working week and non-working days.
Phone Numbers
Enter staff contact phone numbers.
Click Add to add another phone number.
Click Delete to delete a phone number.
Websites
Enter a website URL for the staff.
Click the Add button to add another website URL.
Click the Delete button to remove the website URL.
Socials
Enter a social media URL for the staff.
Click the Add button to add another social media URL.
Click the Delete button to remove the social media URL.
Start Date
Enter the start date of the employment of the staff at the company.
Note: Projectal uses the staff start date and finish date to know if the staff can be assigned to tasks on certain dates.
Finish Date
Enter the finish date of the employment of the staff at the company.
Note: Projectal uses the staff start date and finish date to know if the staff can be assigned to tasks on certain dates.
Tip: Leave Finish Date empty if the staff is still employed and does not have a finish date.
Skills
Click the Add Skill button to add a skill for this staff. When choosing skills, you can choose the level of their skill - namely junior, mid-level or senior. Projectal uses these skills to rank and recommend staff from your projects staff pool to be assigned to tasks in projects.
Resources
Click the Add Resource button to add a resource requirement for this staff. When choosing resources that are required for staff, you can choose the number of units of the resource and the amount of utilization required by the staff.
Example: Jane requires 1 computer 100% of the time, 2 screens 100% of the time, and a set of software licenses 50% of the time (i.e. she is sharing software licenses with other staff).
Pay Amount
Enter the salary or pay amount of the staff.
Note: Projectal uses the staff salary when calculating estimated costs and actual costs for projects and tasks.
Pay Currency
Enter the currency of the salary for the staff.
Tip: You can change the list of currencies to match those used by your company using the Lists screen.
Pay Frequency
Enter how often the staff gets paid. For example, hourly, daily, monthly, annually, etc.
Files
Click the Add File button to display the Files screen. Select a file attach to the staff. Multiple files can be attached a staff.
Tags
Select tags or type in tags to help categorize or classify the staff. There are two ways to add tags:
- Click the Add Tag button to display the Tags screen. Select tags from your existing collection of tags and they will be associated with the staff.
- Or, click inside the Tags editor and a new empty tag will be displayed. Type in the name of the tag you want and press Enter to save the new tag. As you type your tag name, a list of existing tags that partially match the typed text will be displayed and you can choose one of them for faster tag entry.
Notes
Click the Add Note button to add a note about the staff. You can add as many notes as you like. They are listed chronologically.
Calendar
Click the Calendar button to define the working week and non-working days for the location. This will display the Edit Calendar screen.
Working Week
The working week defines the typical starting time, finishing time and number of hours worked by staff at this location.
Use base calendar working week
Click this button to revert back to the base calendar's working week. The base calendar for staff is the staff's location's calendar. When you change the location's calendar, then staff using this location will automatically adopt these calendar changes (if the staff are set to use the base calendar).
Monday - Sunday
Enter the starting time and finishing time for each day at the location. For example, on Monday to Friday, the starting time is 9AM and the finishing time is 5PM.
Click the Add button to add more time periods for each day. For example, on Monday, the working day is 9AM to 12PM and 1PM to 5PM.
Click the Delete button to remove a time period from a day.
Exceptions
Exceptions are the non-working days (and sometimes working days) particular to that location. For example, non-working days are typically the city holidays, state holidays, federal holidays, national holidays, public holidays or bank holidays for that location.
Show base calendar exceptions
Click this checkbox to display any non-working or working day exceptions that are contained in the base calendar.
Add
Click the Add button to add a non-working day or working day exception.
Edit
Click the Edit button to edit the selected non-working day or working day exception.
Delete
Click the Delete button to remove the selected non-working day or working day exception.
Import
Click the Import menu item to import a set of calendar exceptions that have been stored as a XLS, ODS or CSV file on your computer.
Export
Click the Export menu item to export the set of calendar exceptions to your your computer as an XLS file.
Search By Country
Country
Select the country that you want to search for holidays.
Region
Select the region (state or province) from the selected country.
Year
Enter the starting year and ending year to search for.
Search
Click the Search button to find all the holidays for the selected country, region and years. The list of holidays will be updated. If they match your calendar requirements, then click the OK button to save them into your calendar.
Edit Exception
Name
Enter a name for the exception.
ID
Enter an optional identifier for the exception.
Start Date
Enter the start date for the exception. It can be the same date as the End Date if the exception is 1 day.
End Date
Enter the end date for the exception. It can be the same date as the Start Date if the exception is 1 day.
Non working / Working
Select whether the exception is a non-working exception (e.g. a holiday) or a working exception (e.g. working on a weekend). If a working exception, then you can set the starting time (From) and finishing time (To).
From
Enter the starting time for a working exception.
To
Enter the finishing time for a working exception.
