To add generic staff into Projectal, follow these steps:

  1. Go to the Management screen by clicking Management on the left sidebar.
  2. Click the Staff button to display the Staff screen.
  3. Go to the Generic tab on the Staff Screen.
  4. Click the Add button on the Generic Staff screen toolbar.
  5. This will display the New Generic Staff screen.

Name

Enter the name of the generic staff.  For example, "Mid-Level Animator".

ID

Enter an optional identifier of the generic staff.  It could be the generic staff ID code for the staff.

Departments

Click the Add Department button to add the departments in the company that the generic staff belongs to.

Color

Click the color swatch to set or clear the color for the generic staff.  The color can used in other screens to highlight items by generic staff.

Location

Click the Add Location button to add the location of where the generic staff is located.  The selected location's work calendar becomes the base calendar for the generic staff and this becomes the base definition of the generic staff's working week and non-working days.

Type

Select the generic staff's employment type.

Tip: You can change the names and number of staff types to match the way your company works using the Lists screen.

Skills

Click the Add Skill button to add a skill for this generic staff.  When choosing skills, you can choose the level of their skill - namely junior, mid-level or senior.  Projectal uses these skills to rank and recommend generic staff to be assigned to tasks in projects.

Resources

Click the Add Resource button to add a resource requirement for this generic staff.  When choosing resources that are required for generic staff, you can choose the number of units of the resource and the amount of utilization required by the generic staff.

Example: A mid-level animator typically requires 1 computer 100% of the time, 2 screens 100% of the time, and a set of software licenses 50% of the time (i.e. shares software licenses with other staff).

Pay Amount

Enter the salary or pay amount of the generic staff.

Note: Projectal uses the generic staff salary when calculating estimated costs and actual costs for projects and tasks.

Pay Currency

Enter the currency of the salary for the generic staff.

Tip: You can change the list of currencies to match those used by your company using the Lists screen.

Pay Frequency

Enter how often the generic staff gets paid.  For example, hourly, daily, monthly, annually, etc.

Quota

Enter the number of generic staff that you have in the company.  Projectal uses this information to alert you in the Staff Planner when you have availability of the generic staff or are overusing the generic staff

Example: Your company has 12 animators.  You would add an "Animator" generic staff into Projectal and set the quota to be 12.  The Staff Planner in Projectal will tell you when you have animators available or when you have exceeded the 12 animators.

Tags

Select tags or type in tags to help categorize or classify the generic staff.   There are two ways to add tags:

  • Click the Add Tag button to display the Tags screen.  Select tags from your existing collection of tags and they will be associated with the generic staff.
  • Or, click inside the Tags editor and a new empty tag will be displayed.  Type in the name of the tag you want and press Enter to save the new tag. As you type your tag name, a list of existing tags that partially match the typed text will be displayed and you can choose one of them for faster tag entry.

Calendar

Click the Calendar button to define the working week and non-working days for the generic staff.

Tip: You can only add a calendar for a new generic staff after saving your new generic staff.
