Using AI Tools with Projectal

Projectal includes a fully integrated MCP server that lets you connect all popular AI tools such as Claude, ChatGPT and Gemini.


Connecting to your Projectal MCP server is a simple process. You only need the Projectal MCP Server URL and then follow the steps in your AI tool to add a MCP server into it. You can get the Projectal MCP Server URL by clicking the MCP Server button on the Management screen. 


Once you have added your Projectal MCP server into your AI tool, then you can use your AI tool to interact with Projectal in many ways:


Retrieving Information

You can enter prompts into your AI tool to retrieve any data point stored in your Projectal.


Example: 'List all active staff' - to get a list of all currently employed staff at your company.


Example: 'list all active projects with their RAG status' - to list all active projects with key details such as progress and whether on schedule or not (RAG - red, amber, green).


Example: 'list all the unfinished compositing tasks that need to completed in the next 12 weeks' - to get a list of all the compositing tasks that your team has to complete within the next 3 months.



Adding Information

You can enter prompts into your AI tool to add new data points into your Projectal.


Example: 'For the task with the ID of "SH7850-COMP0045", add a note 'This task requires sign off by the producer before handing over to the client' - this will add a note to the task so that staff are alerted. 


Example: 'Add a project called "Sneaker Model 3500 Red" and set the customer as "Nike" with a start date of 23rd May 2027 and status of "Bidding"' - this will add a new project into Projectal and set the customer, start date and status.


Example: 'Add a new staff. First name - Jane. Last name - Doe. She is a freelancer and starts on 15th July 2026. Her rate is USD$1500 per day. She is a Senior Animator within the Animation department.' - this will add the staff into Projectal with their name, position, salary, department and start date.


Updating Information

You can enter prompts into your AI tool to update existing data points in your Projectal.


Example: 'change the assigned staff for task SH6005-FX365 to Jane Doe at 100% utilization' - this will set the assigned staff for a task. 


Example: 'set the status of the project 'Avatar 5' to 'In Progress' - this will set the status of the project.


Example: 'update the progress of task SH4305-COMP55 to 50% completed' - this will set the progress of a task. 


Deleting Information 

You can enter prompts into your AI tool to delete existing data points in your Projectal.


Warning: Once a data point is deleted, it cannot be retrieved.  All use of the data point will be removed.


Example: 'delete the sandbox "Avatar 5 Bidding"' - this deletes a user's sandbox


Example: 'remove the task SH9685-ROTO46 from project Avatar 5'- this will remove a task from a project.



Agentic Workflows

In addition to using your AI tool to prompt Projectal, you can create agentic workflows that connect various data sources and AI agents to automate manual processes.


Example: Using your AI tool and Projectal MCP server, every two weeks, create a week-by-week department breakdown report that list staff count, number of completed tasks, number of tasks in progress, number of tasks waiting to be started, and calculate the completion rates. Save this to a Excel spreadsheet located in the "Production" folder on our SharePoint. 


Example: Whenever you receive a client requirements document, ingest it into your AI tool so it can break it down into the required sequences, shots and assets to be created, and then get your AI tool to create a bidding sandbox in Projectal, and inside the sandbox, create a new project with the full breakdown to create an initial crew plan, timeline and budget.
