Filtering Data in the Resource Planner

Filtering allows you to restrict the list of resources being displayed to only those that you are interested in.


Hover your mouse over the Filter icon on the Resource Planner toolbar and then click the Add Filter button to add a filter.  This will display the Add Filter screen.



Choose the Field which you wish to filter by and choose the Value you wish to match on.


Tip: You can select multiple values when choosing a value to match on.


Tip: You can search for particular values using the Search edit box at the top of the Values dropdown liat. 


Example: You wish to list all resources from Vancouver and Los Angeles locations, so you will select Location as the field, and then Vancouver and Los Angeles as the values. 


You can add multiple filters by clicking the Add Filter button multiple times.  This will continue to refine the list of resources according to the combination of the filters.


Example: You wish to list all resources from the Vancouver office that are in the Animation department.  You will add a filter with a field Department and value Vancouver.  And you will add another filter with a field Department and value Animation.


Show only matching resources

Click the Show only matching resources checkbox if you want the list of resources to be limited to those that match the filter. Uncheck the checkbox is you do not want to change the list of resources.


Example: You wish to see only those resources that are assigned to bookings or tasks in a project.  You would add a filter using Project Name field and you would select the Show only matching resources checkbox. 


Example: You wish to see only the tasks and bookings that have a certain stage (or status) so you know which ones you need to re-allocate to resources.  You would add a filter using Stage Name field and you would uncheck the Show only matching resources checkbox.


You can edit a filter by clicking on the filter in the Resource Planner toolbar.


You can delete a filter by clicking the X icon in the right side of the filter in the Resource Planner toolbar.


You can quick recall last used filters by clicking the down arrow next to the Add Filter button.


Filtering by Usage

A special filter listed in the Add Filter screen is called Usage.  This lets you see resources based on their allocation of project bookings, tasks and activities within the time period.  You can choose to filter by:

  • Unders - resources that are under allocated and have some availability within the time period.
  • Optimal - resources that are allocated evenly to projects, tasks and activities.
  • Overs - resources that are over allocated on project bookings, tasks or activities.

   

Example: You wish to see only those resources that are over allocated so you can fix these over allocation problems.  You will add a filter with the field Usage and value Overs.  This will only show those resources that have over allocations on project bookings, tasks or activities. 


Filtering by Availability

A special filter listed in the Add Filter screen is called Availability.  This lets you find resources that have availability for the duration that you specify.   This lets you quickly find the right resource to do upcoming project bookings, tasks or activities.


Example: You need two cameras that have 6 days of availability within the next 3 months so you can book them onto an upcoming project or assign them to tasks.  You will a filter with the field Availability and value "6D".  This will filter your pool of cameras to show only those that have 6 days availability for upcoming work within the specified time period.


When choosing Availability, you need to enter the amount of free available time you wish to filter by.  You can use the following units to specify the time required:

  • m - minutes.  Example: 30m = 30 minutes.
  • h - hours.  Examples: 6h = 6 hours. 1.5h = 90 minutes.
  • D - days.  Examples: 10D = 10 days. 3.5D = 3.5 days.
  • W - weeks.  Examples: 3W = 3 weeks. 6.5W = 6.5 weeks. 
  • M - months.  Example: 2M = 2 months. 1.25M = 1.25 months.
  • Y - years.  Example: 1Y = 1 year.  2.5Y = 2.5 years.
