Filtering Data in Staff Planner

Filtering allows you to restrict the list of staff being displayed to only those that you are interested in.


Hover your mouse over the Filter icon on the Staff Planner toolbar and then click the Add Filter button to add a filter.  This will display the Add Filter screen.



Field

Choose the Field which you wish to filter by.


Operator

Choose either the Is or Is Not operator.  The Is operator will find results that are an exact match of the selected values.  The Is Not operator will find results that do not match of the selected values.


Value

Choose the Value you wish to match on with the selected operator.


Tip: You can select multiple values when choosing a value to match on.


Tip: You can search for particular values using the Search edit box at the top of the Values dropdown liat. 


Example: You wish to list all staff from the Animation and Effects departments, so you will select Department as the field, and then Animation and Effects as the values. 


You can add multiple filters by clicking the Add Filter button multiple times.  This will continue to refine the list of staff according to the combination of the filters.


Example: You wish to list all staff from the Vancouver office that are in the Animation department.  You will add a filter with a field Location and value Vancouver.  And you will add another filter with a field Department and value Animation.


Show only matching staff

Click the Show only matching staff checkbox if you want the list of staff to be limited to those that match the filter. Uncheck the checkbox is you do not want to change the list of staff.


Example: You wish to see only those staff that are assigned to bookings or tasks in a project.  You would add a filter using Project Name field and you would select the Show only matching staff checkbox. 


Example: You wish to see only the tasks and bookings that have a certain stage (or status) so you know which ones you need to re-allocate to staff in your departments.  You would add a filter using Stage Name field and you would uncheck the Show only matching staff checkbox.

You can edit a filter by clicking on the filter in the Staff Planner toolbar.


You can delete a filter by clicking the X icon in the right side of the filter in the Staff Planner toolbar.


Filtering by Usage

A special filter listed in the Add Filter screen is called Usage.  This lets you see staff based on their allocation of project bookings, tasks and activities within the time period.  You can choose to filter by:

  • Unders - staff that are under allocated and have some availability within the time period.
  • Optimal - staff that are allocated evenly to projects, tasks and activities.
  • Overs - staff that are over allocated on project bookings, tasks or activities.

   

Example: You wish to see only those staff that are over allocated so you can fix these over allocation problems.  You will add a filter with the field Usage and value Overs.  This will only show those staff that have over allocations on project bookings, tasks or activities. 


Filtering by Availability

A special filter listed in the Add Filter screen is called Availability.  This lets you find staff that have availability for the duration that you specify.   This lets you quickly find the right person to do upcoming project bookings, tasks or activities.


Example: You need to find two animators that have 3 weeks of availability in the next 4 months so you can book them onto an upcoming project or assign them to tasks.  You will add a filter with the field Department and value Animation.  And you will add another filter with the field Availability and value "3W".  This will filter your staff pool to show only those staff from the Animation department and that have 3 weeks availability for upcoming work within the specified time period.


When choosing Availability, you need to enter the amount of free available time you wish to filter by.  You can use the following units to specify the time required:

  • m - minutes.  Example: 30m = 30 minutes.
  • h - hours.  Examples: 6h = 6 hours. 1.5h = 90 minutes.
  • D - days.  Examples: 10D = 10 days. 3.5D = 3.5 days.
  • W - weeks.  Examples: 3W = 3 weeks. 6.5W = 6.5 weeks. 
  • M - months.  Example: 2M = 2 months. 1.25M = 1.25 months.
  • Y - years.  Example: 1Y = 1 year.  2.5Y = 2.5 years.
